Working the Task Queue

The task queue is where you review and act on prior authorization (PA) requests and other clinical workflows assigned to your organization.

Accessing the Task Queue

From the left navigation, select Tasks. The task queue opens showing prior authorization (initiation) tasks by default.

If you arrive from an evaluation results page, a blue banner at the top of the queue reads Showing tasks for evaluation. Select Clear Filters in that banner to return to the full task queue.

Filters

The task queue offers several filters you can combine to focus on the work that matters most.

Due Date

At the top of the filter panel, a chip group lets you narrow tasks by their due date:

ChipWhat it shows
AllEvery task regardless of due date
TodayTasks due today
OverdueTasks whose due date has already passed
UpcomingTasks due tomorrow or later

Task Type

The Task Type dropdown lets you choose which category of task to display:

OptionDescription
Prior authorization (initiation)New PA requests (default)
PA continuationPA continuation reviews
All typesAll task types at once
Awaiting staff approvalOpen PharmPix manual-approval tasks
AppealsAppeal review tasks
Data request (PA stage)PA parent tasks currently in the data-request stage
Data remediation (PA stage)PA parent tasks currently in the remediation stage
Data request (child task)Standalone data-request child tasks
Initiation (child task)PharmPix initiation child tasks
Discontinue (child task)PharmPix discontinue child tasks
Rejection (child task)Rejection child tasks

Workflow State

When the Task Type is set to Prior authorization (initiation) or PA continuation, a Workflow state dropdown appears. Use it to narrow the list to a specific stage — for example, Data Request or Remediation.

Selecting Abandoned in the workflow state filter automatically enables Closed tasks only, because abandoned PAs always have a closed status.

Closed Tasks Only

By default the queue shows only open, in-progress tasks. Toggle Closed tasks only to see completed, canceled, and expired tasks.

Has Errors

Toggle Has Errors to surface only tasks that have system-level errors. When this filter is active the list sorts by the most recent error first, so the most urgent items appear at the top.

Business Unit

If your account spans multiple business units, a business unit filter appears above the table. Use it to limit the queue to tasks belonging to a specific unit.

Reading the Task List

Each row in the task queue shows:

ColumnWhat it shows
NamePatient first and last name
TypeThe task type (e.g., Prior Auth, Rejection) as a color-coded chip
StageFor PA tasks: the current workflow stage (e.g., Data Request, Approved)
StatusTask status; for PA tasks this reflects the PA workflow state
Due DateThe date the task is due
DrugThe medication associated with the task
BUBusiness unit (shown only when you have access to more than one)

A small orange warning icon next to the status chip means the task or one of its sub-tasks has an error that needs attention.

Opening a Task

Select any row to open the full task details page. You can also use the eye icon in the Actions column to open the task, or the person icon to navigate directly to the patient’s chart.

To return to the queue from a task detail page, select the back arrow at the top of the page.
